Planning mini pastries for a business event
There is no universal pastry count that works for every event. A useful plan accounts for the time of day, event length, other food, guest profile and how people will be served. Work through those decisions before fixing a quantity.

Give the supplier the complete event picture
Start with confirmed attendance and a clearly labelled estimate for anyone still outstanding. Add the event schedule, service window and whether guests arrive together or over time.
Explain what happens immediately before and after the food is served. A short refreshment break between sessions behaves differently from an open dessert table at a longer gathering.
Count the rest of the menu
List every other food and drink component. If pastries follow a full meal, they play a different role from pastries served as the only morning refreshment. Consider portion size as well as the number of pieces.
Ask the bakery to recommend a starting mix from the current range after seeing this context. Confirm the final quantity rather than relying on a generic per-person rule found online.
Build variety with a purpose
Variety can make a table inviting, but every additional choice adds a planning decision. Use contrast in size, texture and flavour to create a coherent selection instead of collecting unrelated items.
If cakes, cupcakes, cookies or macarons are also included, decide which format is the centre and which ones add easy individual bites. This keeps the order understandable for guests.
Plan service before presentation
Confirm table size, plates or napkins, service staff, replenishment and access to appropriate storage. Tell the supplier how long the bakes may wait before service and ask for product-specific handling guidance.
Choose a serving plan guests can navigate without creating a queue. Individual pieces are helpful, but table position and replenishment still matter.
Close the dietary-information loop
Collect dietary and allergen requirements early, pass each one to the bakery and ask for confirmation against the products being discussed. Agree how that information will reach the guest and service team.
Before final confirmation, recheck attendance, menu, timing, quantities, handling and every special requirement in one written summary.
