Planning a corporate cake and dessert spread

A memorable company dessert table does not need every available format. It needs a clear centre, enough practical individual portions and a service plan that matches the occasion. Here is how to shape the brief.

Decide what should be the centre

A whole cake creates a ceremonial moment and a clear visual focus. Cupcakes, mini pastries, cookies and macarons make individual serving easier. Decide whether the occasion needs one centrepiece, distributed portions or a combination.

Tell the bakery whether there will be a cake-cutting moment and who will portion and serve it. This affects how useful a larger cake format will be in practice.

Design for the actual guest journey

Map where guests enter, when they eat and whether they are seated or moving around. Consider table access, queueing, plates, utensils, napkins and who replenishes the display.

A spread for a focused meeting should usually be easier to navigate than one designed for a longer celebration. Let the event format set the level of complexity.

Balance recognition and discovery

Use familiar formats to make the table approachable, then introduce contrast through a smaller number of other bakes. Variety works when guests can quickly understand their choices.

Share the audience and what else is being served. The bakery can then discuss an available mix without treating each product as an isolated decision.

Budget for the full requirement

Provide a working budget range and ask what it needs to cover. Product, quantity, serving format, presentation, packing and fulfilment questions should be considered together.

If some elements are optional, rank them. This gives the supplier room to suggest a practical order while protecting what matters most to the organiser.

Send one final confirmation summary

Before the order is agreed, write the event, date, timing, guest count, complete product mix, confirmed quantities, service plan and dietary or allergen requirements in one place.

Ask the bakery to confirm suitability, availability and fulfilment details for that exact summary. A shared written reference prevents assumptions from becoming last-minute problems.
